No record exists until consent has been given.
Requested before anything is stored
The administrator enters the resident's details and the contact address from the care contract. Those details are held pending, and a consent request is emailed.
Given to the care home, not to an individual
Consent is to your institution holding and processing the record — so it survives a caregiver leaving or a resident moving to another member of staff.
Refusal leaves nothing behind
If consent is declined, no resident record is ever created and the pending details are discarded.
Recorded, with a date
What was consented to, when, in which language, and by whom — kept for as long as you need it.
Most systems create the record first and ask afterwards. Doing it the other way round is more work to build, and considerably easier to defend.
